This policy applies when you visit our website, create an account, book a room, attend an event, purchase tickets, place an order, shop with BetterWorn Apparel, order from Backstage, join our rewards program, submit a form, make a donation, or otherwise interact with us.

• Booking and event details, including notes and event flyers submitted by customers or Hosts.
• Order and ticket history.
• Records of when you agreed to our policies.
• Your rewards phone number and points balance.
• Messages submitted through our contact form.
• The brand and last four digits of saved payment cards.
We never see or store full payment card numbers.
How We Use Your Information
We use your information to:
• Process and manage room bookings, event tickets, and RSVPs.
• Process payments and Backstage and BetterWorn Apparel orders.
• Communicate with you about your requests, bookings, and events.
• Send receipts and confirmations.
• Operate our rewards program and member accounts.

Service Providers
We rely on trusted service providers to operate our business:
• Wix hosts our website, member accounts, events, online shop, and forms.
• Square processes payments, saved cards, invoices, receipts, and our rewards program.
• Google Calendar supports our internal staff booking calendar.
These providers process information only as needed to deliver their services to us.
Payment Information
All payments are processed securely by Square. We never see or store full card numbers; we receive only the card brand and last four digits. Cards saved when requesting a booking are used only for approved booking payments and other charges described in our Terms & Policies.
Cookies and Website Data
Our website uses cookies for essential functions such as sign-in and checkout. We do not use Google Analytics, the Meta (Facebook) Pixel, or advertising trackers. Our website provider, Wix, may collect basic visitor statistics as part of operating the site.
Emails and Text Messages
We send automated messages that are necessary to provide our services, such as booking request confirmations, tour confirmations, event tickets and reminders (through Wix), payment receipts, and rewards messages (through Square). Our staff may also contact you directly about your bookings.
Marketing emails are sent only to those who subscribe to our newsletter. Creating an account, booking a room, or making a purchase does not subscribe you, and you may unsubscribe at any time.
Square may send rewards members text messages. Message and data rates may apply. Reply STOP at any time to opt out.
Member Accounts
Member accounts are free. Members may view their rewards, tickets, and RSVPs, update their name and phone number, and remove saved payment cards, except a card still scheduled to pay for an upcoming booking. To change the email address on an account, please contact our team.
Photography and Video
We may photograph or film public events for marketing purposes, including use on our website and social media. If you prefer not to be photographed or filmed, please let a member of our staff know. We never photograph or film private events without the renter's consent.
Security Cameras
Security cameras operate in public and common areas for security purposes only, and are never placed in restrooms. Cameras may be turned off when needed, including at a renter's request for a private event. When cameras are turned off at a renter's request, the renter assumes full responsibility for any damage or theft during that time.
Information Sharing
We do not sell your personal information, and we do not share it with sponsors or partners. We share information only with the service providers listed above, as needed to provide our services, or when required by law.
Data Retention
Booking, payment, and tax records are retained for 7 years. Other information is retained while the related account remains active.
Your Choices and Requests
You may email us at any time to request access to, correction of, or deletion of your personal information. Some information may need to be retained to meet our legal or tax obligations.
Data Security
We use reasonable business practices, along with the security measures provided by our service providers, to protect your information. However, no method of storing or transmitting information is completely secure.
Children
Services that require an account, a booking, or Host status are intended for individuals 18 years of age or older. Certain events have additional age requirements, as stated on the event listing.
Changes to This Policy
We may update this Privacy Policy as our services or practices change. Updates take effect when they are posted on our website.
